The primary purpose of the facilities at Aims Community College is to carry out the educational mission of the College. As a public institution, Aims also strives to partner with and be accessible to the larger community by allowing use of its facilities to the extent that space is available.
Aims has four levels for the use of facilities and equipment.
Academic usage takes priority for use of Aims Community College facilities over non-academic use. Events will be scheduled accordingly. Space and setups will be limited for groups requesting accommodations less than 10 business days prior to the event. Individuals or groups must assume responsibility for compliance with all state and local laws as well as college policies.
If approved, Aims Community College may require, based on the type of event, a certificate of insurance indicating coverage for general liability insurance in the amount of not less than $1 million. Aims requires that it be named as an additional insured on the insurance policy. The certificate must be delivered to the Facilities and Operations Department no later than one work week prior to the scheduled event.
A written cancellation must be received by the event coordinator no less than seven days prior to the event. If the event is cancelled less than seven calendar days prior to the function, a $50 or 25 percent charge will be assessed, whichever is greater. Cancellations must be in writing and received by events staff.
Prices are set according to proposed use of the facilities, staffing, equipment and media. Fees may include but are not limited to utility use fee, as well as fees for security, custodial and media services.
There will be additional charges for media and staffing due to events scheduled outside of Aims normal business hours: Monday-Friday, 8 a.m. – 5 p.m.
Any media equipment that is needed must be scheduled through the event coordinator at least 10 working days prior to the event. Late notices or changes may be subject to additional charges.
Sponsor will submit written details for the event a minimum of 15 work days prior to the event, including requirements and detailed schedule. This description and schedule is subject to Aims approval. Once approved, the sponsor agrees to conform to the event details as approved. Aims is to be notified of any and all changes in writing at least five working days prior to the event.
An additional fee for security services will be assessed if events are held during non-business hours or have permission to serve alcoholic beverages. Persons on college property may be required upon request to provide picture identification and evidence of qualification at Aims Community College.
