Okta FAQs

Okta securely connects the college community to the applications and tools they need. It provides an app dashboard, single sign-on (SSO) and multi-factor authentication (MFA).

There is no difference as myApps is the Aims branded version of Okta.

Identity and access management helps to establish one digital identity per individual and then connects each individual with the appropriate technology resources they need.

SSO is one of the many capabilities that Okta provides. SSO lets you use a single username and password to access all your apps. No more remembering all your different password and username combinations to get to the apps that you need.

With SSO, you sign into the Aims Okta Dashboard. From there, you can launch any of your web apps without having to enter any other additional credentials. Okta manages all your application credentials and securely logs you into your apps. Sometimes, you might not even know what your username and password are for certain apps because your IT team will manage all of that for you in the background.

MFA is an additional step to verify your identity when you sign in to an application. Using MFA keeps your account more secure, because it makes it more difficult for hackers to steal all the information necessary to impersonate you.

No. You will have the option to remember your device for a set period of time.

Yes, we encourage you to set up multiple factors. By doing so, you will still be able to sign in if one of your factors is unavailable.

The distance of your mobile device from your screen or your screen resolution could impact your ability to scan the QR code. Try moving your device closer or further away while keeping the QR code within the scanners view. You can also try adjusting the zoom on your browser. If neither of these options work, try one of the following:

If you were already enrolled in Duo, you'll want to keep the Duo Mobile app installed until all apps have been transitioned to Okta. Removing the Duo Mobile app before all apps have been transitioned to Okta could result in you not being able to access them.

When the Okta verify page comes up it will always display the last factor that you used to sign in. If you want to switch to a different factor, click on the drop down arrow next to the circular icon and select a different factor.

  1. Sign in to Okta. If you still have the old device, approve the prompt from it. If you no longer have the old device, select a different factor such as Voice.
  2. Click on your name in the top right corner and then click Settings.
  3. Scroll down to the 'Extra Verification' section and click Remove on your currently enrolled factor and then click Yes to verify.
  4. Reload the Settings page and then click Set up on the factor you just removed.
  5. Follow the prompts to set up the new factor.

Okta supports Internet Explorer, Firefox, Safari, Edge, and Chrome.

It does. Download the Okta Mobile app from your app store for full mobile access to Okta. Okta Mobile allows you to access your applications from your mobile device with a PIN code, so you get the security of Single Sign-On from your mobile device.

Okta Verify push notifications typically use less than 15KB per push and response. That means it would take approximately 350 push notifications to equal the streaming or download of one average song.

Please keep in mind that no data or internet connection is required to enter a passcode generated by the Okta Verify app. To enter a passcode instead of using a push, click ‘Or enter code’ on the MFA verification screen.

Okta uses a single username and password to give you easy access to all your applications.

Your Okta username and password are the same as your Aims username and password. They can be used to access a number of resources including the Okta Dashboard. If you don't know your username, contact the IT Service Desk. If you've forgotten your password, click the 'Need help signing in?' link at the bottom of the sign-in page. Then click 'Forgot password' to reset it. If you don’t see these options, contact the IT Service Desk.

If you’ve forgotten your password, click the 'Need help signing in?' link at the bottom of the sign-in page. Then click 'Forgot password' to reset it. If that doesn’t work, call the IT Service Desk.

Click on your username in the menu, and select 'Settings'.

In the Change Password section, enter your current password and the new password you’ve chosen. Make sure your password meets the Aims password policy displayed. Click Change Password and you’re good to go.
 

To change your forgotten password question, log in to your Okta account. Click on your username in the top menu, and select 'Settings'.

In the Forgotten Password Question section, click 'Edit'. Choose a new question, enter your answer, and click 'Save'.

Secondary emails are useful in case you forget your Okta password. When you forget your password, Okta sends you a link to reset it via email. But what if you access your Aims’ email through Okta? Then you wouldn’t be able to read the email! To solve this problem, Okta can send the reset link to your secondary email address, which should be on a system not managed by Okta.

If you notice that your secondary email address is incorrect, be sure to update it in Banner or Workday.

To create a new section for your apps, click 'Add section +' under My Apps. You will be asked to enter a new section name (for example, "Favorites"). Enter the name of the section and click 'Save' to create it.

To delete a section, you will first need to move all of the apps within that section to a different one so that it is empty. Once the section has been emptied you will see a 'Remove section' option. Click to delete your section.

To change the order of your apps, click and hold on an app icon, then drag and drop the app to the location where you would like it to be displayed.

To move an app from one section to another, click and hold on the app icon, then drag and drop your app to the new tab.

You can remove apps you have installed by hovering over the app and selecting the gear icon. In the app setting screen, you'll see the option to delete it. Apps issued by Aims cannot be removed, but you can create a section to store unused and unwanted applications.

The Okta Browser Plugin protects your passwords and securely logs you into all your apps.

We recommend that you use the Okta browser plugin because it can help you get to your apps faster than through the web Dashboard, you can add your apps to Okta on the fly, and it also comes with security benefits.

Okta Mobile is a mobile app that you can download from your device's app store that lets you use Okta on your phone or tablet.

Okta Mobile is a mobile app that allows you to access all your applications on a mobile device. Okta Verify is also a mobile app, but rather than letting you access your apps directly from your mobile device it gives you extra security when signing into Okta.

First, install the app. Apple mobile device users can download it from Apple’s iOS App Store. Android users can get it from the Google Play Store.

After installation, enter the Aims’ Okta URL and your Okta username and password. Once authenticated, Okta Mobile will ask you to create a PIN. Confirm your PIN again, and you’re ready to take Okta on the road.

If you have a device that has TouchID or FaceID, you can use that to skip using the PIN the next time you’re signing back in.

Yes. From the Settings page within Okta Mobile, click on Change Password. Enter the current and new passwords as prompted.
